Schedule content to publish or archive

How to schedule in advance for a page or page update to be published or archived at a specific date and time.

This guide applies to webpage content only. If you update a document in the Media Library, this change is reflected immediately on the page(s) where the document is published. We don't have a way to schedule a document changeover. 

Pages in the content management system can be set in advance to be published or archived at a certain date and time. 

Scheduled publishing and archiving can be applied to any of the content types:

  • Landing page
  • Event
  • Grant
  • News
  • Profile 
  • Publication

Scheduling a new page to be published

  • Create the page.
  • Leave a comment in the Revision log message section in the CMS with the date and time the page should be scheduled for.
  • Save your work.
  • Change the page's status to Needs Review. 

Scheduling new edits to be published

  • Edit the current page.
  • Leave a comment in the Revision log message section in the CMS with the date and time the page should be scheduled for.
  • Save your work.
  • Change the page's status to Needs Review. 

Scheduling a page to be archived

  • Open the Edit tab of the page.
  • Leave a comment in the Revision log message section in the CMS with the date and time the page should be archived.
  • Change the page's status to Archive Pending.
Please provide as much advance notice as possible for a page to be scheduled or archived. 

For site admins: How to add the scheduled update

Click on the Content section to search for a page within the CMS, then press filter

Once you're in Edit mode, select the Scheduled updates tab and click the +Add Scheduled update button.

Schedule a new version to be published

Check the Revision number you’d like to publish, then choose Publish on the Execute transition dropdown. Add in the date, month, year and time you'd like the page to publish, then select Scheduled updates.

The time format is hours, minutes, seconds, am/pm. So if you want to publish a page at 11:59pm you would enter 11:59:00PM

Schedule a page to be archived

Check the Revision number you’d like to archive (this is usually the latest revision), then choose Archive on the Execute transition dropdown. Add in the date, month, year and time you'd like the page to archive, then select Scheduled updates.

Manage scheduled publishing

If you need to cancel a scheduled update, you can remove it by going to the Scheduled updates tab and selecting Delete.
